Office Manager

We are looking for an Office Manager to manage administrative operations and ensure the smooth running of Startup Portugal. This professional will play a central role in coordinating daily tasks, ensuring efficiency, organization and a productive and pleasant working environment.   What We Offer:

Requirements

  • Degree in Business Management, Accounting, Law, International Relations or other field, provided it is compatible with the duties to be performed.
  • Previous experience in administrative or office management roles.
  • Excellent organizational, communication and time management skills.
  • Autonomy, proactivity and problem-solving skills.
  • Knowledge of productivity tools, such as MS Office or Google Workspace.
  • Fluency in spoken and written English and Portuguese

Skills

  • Administrative management:
    Coordinate and supervise administrative tasks, such as processing correspondence and parcels.
    Organizing and maintaining physical and digital archives.
    Managing contracts and relations with suppliers and service providers.
  • Office management:
    Ensure the procurement of materials and equipment necessary for the operation of the office.
    Managing office space, including maintenance and facilities support.
    Coordinate space layouts and accommodations for new hires or reorganizations.
  • Team support:
    Providing administrative support to teams and management, including preparing documents, presentations and reports.
    Monitoring and managing travel and expenses related to work trips.
    Supporting the organization of internal and external events.
  • Human resources management:
    Supporting the recruitment and integration processes for new employees.
    Monitoring vacation and absence records.
    Promoting initiatives to improve the working environment and organizational culture.
